Job Description

Performs highly responsive, independent professional administrative services and sales support for the branch office staff and management ensuring these functions are performed efficiently and contribute to the attainment of company objectives.

Essential Functions:

  • Provides primary administrative support for the Branch Manager, local management and coworkers.

  • Supports professional services business: Performs weekly audit, reconciliation and follow up of unbilled services using Changepoint system

  • Obtain, routes, distributes and files customer contracts

  • Assists account managers with sales/order administration activities as outlined by branch manager.

  • Coordinates key customer, coworker, partner meetings, events, workshops and conference calls.

  • Informs attendees of function dates and times, reserves and sets up meeting space, provides necessary ancillary equipment/materials, if required, and hospitality services when appropriate.

  • Assists with sales and marketing presentations, RFP’s, proposals and seminar materials (i.e. formatting, preparing, proofreading, copying, assembling, binding)

  • Expedites the resolution of customer problems/issues.

  • Assists in preparation of periodic (weekly, monthly, quarterly) reports.

  • Maintains department files and marketing materials.

  • Maintains and orders office supplies

  • Verifies relevant branch expenses and ensures that charges are made to the appropriate cost centers.

  • Prepares expenses for Branch Manager’s approval.

  • Orders promotional and company logo items for branch and sales team as directed.

  • Processes incoming and outgoing mail and other shipments and faxes.

  • Monitors the appearance and maintenance of the branch office, coordinates resolution of maintenance and repairs and escalates to Branch Manager as needed. Tracks availability of work space and keeps Branch Manager informed of status and branch office space and facility needs.

  • Receives incoming telephone calls and visitors, provides assistance or directs to the appropriate office or person in the local branch and provides back-up all other CDW Advanced Technology branch offices.

  • Communicates in-person and through written and electronic correspondence with high-level contacts both inside and outside the organization, including coworkers, partners, vendors, and customers.

  • Maintains confidentiality of contact information.

  • Acts as a branch liaison for branch office with other locations and supports corporate initiatives such as charitable contributions volunteer activities and emergency response.

  • Provides local office orientation for new coworkers.

  • Assigns and sets up work areas and all other office systems to support coworkers.

  • Coordinates the return of office equipment and makes changes to local branch systems when a coworker transfers or exits from organization.

  • Manage content for regional intranet web site using Microsoft SharePoint.

  • Provides support for community service projects and volunteer activities that are consistent with corporate goals and objectives.

  • Regularly contributes to branch office administrator office procedures documentation.

  • Participates in periodic branch office administrator team meetings, independently seeks out information and training needed to perform responsibilities, and proactively shares best practices and resources with peers.

  • High school diploma required

  • Minimum of 3-5 years in administrative support or customer service role. Associate degree in a business related or accounting related program preferred.

  • Significant experience using the Internet and experience with Internet and Intranet applications.

  • Advanced skills with MS Office (i.e. Outlook, Word, Excel, PowerPoint); experience with Visio a plus

  • Knowledge of Microsoft SharePoint preferred

  • Ability to handle multiple activities at once and work under deadlines

  • Ability to anticipate requirements and work independently to accomplish objectives

  • Excellent organization and project coordination skills and attention to detail

  • Strong oral and written communication skills

  • Excellent problem solving skills and follow through

  • Excellent customer service

  • Knowledge of accounting systems and practices
